Lyckans Gård Booking Policy

This policy is presented at the time of purchase. Full or partial payment constitutes acceptance of the following terms and conditions.
The policy applies to both full-paying participants and participants who receive a discounted fee due to volunteer work. Certain exceptions apply to volunteers. Please see §8 for details. All purchases include a non-refundable administration fee of SEK 500 per adult and SEK 250 per child/youth. The maximum total administration fee per booking is SEK 2,000.

RULES FOR CANCELLATION, TRANSFER AND REFUND OF BOOKINGS
If LYCKANS GÅRD cancels your booking, or if you as a participant are unable to attend as planned, the following policy applies:

§1: CANCELLATION UP TO 30 DAYS BEFORE THE EVENT START DATE
Up to 30 days before the event start date, you may cancel your booking and receive a refund, less an administration fee of SEK 500 per adult and SEK 250 per child/youth. The maximum administration fee per booking is SEK 2,000.

§2: CANCELLATION UP TO 14 DAYS BEFORE THE EVENT START DATE
Up to 14 days before the event start date, you may cancel your booking and receive a refund, less a cancellation fee.
The cancellation fee is 20% of the total booking value, or a minimum of SEK 500 per adult and SEK 250 per child/youth.

§3: CANCELLATION LESS THAN 14 DAYS BEFORE THE EVENT START DATE
No refunds will be issued during the final two weeks before the event starts unless you can provide a valid medical certificate confirming that you are unable to attend.
If a valid medical certificate is provided, refunds will be processed according to §2.
Please note: Once the event has started, no refunds will be issued. This also applies after check-in if you become ill or are otherwise unable to remain for the full duration of the event.

§4: TRANSFERRING YOUR BOOKING TO ANOTHER EVENT OR PERSON
If you are unable to attend the event you have booked, you may transfer your booking to another event currently available for booking through our website.
A transfer administration fee of SEK 500 per booking applies when transferring to another event.

For transferred bookings, we can only guarantee basic accommodation (tent space or dormitory accommodation, depending on the event). If you would like to inquire about upgraded accommodation options, please contact our booking office for further information.

Volunteers transferring to another volunteer period are exempt from the SEK 500 administration fee.
Volunteers transferring to a paid participant booking are required to pay the SEK 500 administration fee.

If you are unable to attend your booked event, you may also transfer your booking to another person. You are responsible for finding a replacement participant and must contact the booking office as soon as possible to make the necessary arrangements.
A SEK 500 administration fee per booking applies for transfers to another person.
Please note: For certain events, we or the facilitator may wish to maintain a balanced gender distribution among participants, which may affect who can take over a booking.

§5: LYCKANS GÅRD CANCELS YOUR BOOKING
If LYCKANS GÅRD is forced to cancel your booking, you will receive a full refund minus a SEK 500 administration fee per booking.
Our intention is to notify participants of any event cancellation at least 14 days in advance. However, unforeseen circumstances may occasionally prevent us from doing so.

§6: HEALTH, TRAVEL AND ADDITIONAL POLICIES/GUIDELINES
LYCKANS GÅRD expects participants to withdraw from attending if, shortly before or during the event, they know or have reasonable cause to believe that they are carrying a contagious illness.
This includes, but is not limited to, significant symptoms of stomach flu, influenza, COVID-19, or any other illness that may pose an immediate health risk to other participants.
It is your responsibility to take reasonable measures to minimise the risk of infecting others.

We strongly recommend purchasing refundable travel tickets when arranging transportation to LYCKANS GÅRD.
Under no circumstances, including event cancellation, will LYCKANS GÅRD cover or reimburse any travel expenses, accommodation expenses outside the event, insurance costs, or related expenses incurred by participants.
If your travel arrangements are disrupted, cancelled, or if you are unable to attend due to travel restrictions within Sweden or internationally, the booking policy above still applies.
As a participant, you are expected to be familiar with and comply with LYCKANS GÅRD’s General Policies and Guidelines.

For volunteers, this also includes our 12 Guidelines for Living and Working Together.
Certain events may have additional or alternative policies and guidelines. Where applicable, special care will be taken to clearly communicate these during the booking process.

PAYMENT METHODS, CONFIRMATION AND DOCUMENTATION
All prices and payments are processed in Swedish Kronor (SEK).
Payments are handled through our online booking system and your personal banking service.

DOCUMENTS RELATED TO YOUR BOOKING
Upon completion of your booking and payment through our online system, you will receive a confirmation email containing details of your reservation.
Your payment will also generate a receipt, including a VAT specification, which will be sent to your email address.
Please note: We do not issue additional receipts or change the name of the payer after the purchase has been completed.
Please ensure that you provide the correct billing details and the names of all participants attending the event at the time of booking.
